PawNote Privacy Policy

Effective date: July 14, 2026

This Privacy Policy explains how PawNote collects, uses, stores, shares, and protects information when you use the PawNote mobile application, websites, public pages, APIs, and related services. It also explains the choices and rights available to you. By using PawNote, you acknowledge the practices described in this Policy.

1. Scope

PawNote is a pet journaling service that lets users create an account, maintain pet profiles, save photos and videos, record daily memories and care information, organize records with tags, submit feedback, and synchronize information across supported devices.

This Policy applies only to services operated under the PawNote brand. Third-party websites, app stores, device platforms, and services linked from PawNote have their own privacy practices.

2. Information We Collect

We collect information in the following categories when it is necessary to provide or protect the service:

  • Account and authentication information: username, encrypted password hash, nickname, avatar, account status, session information, third-party provider user IDs when you use Apple or Google sign-in, account creation time, login time, and account deletion status.
  • Pet profiles: pet name, avatar, birthday, species, sex, weight, neuter status, and other profile details you choose to enter.
  • Journal and care content: text, dates, tags, photos, videos, weight entries, vaccine names, hospital reasons, medication names, interaction records, and other information you choose to save.
  • Feedback: feedback messages, optional images, submission time, and support status.
  • Device and technical information: operating-system-provided or securely stored device identifier, device type, operating system, application or browser version, IP address, IP-derived registration country, user agent, request time, API path and status, diagnostic request and response summaries, performance status, error details, security records, and upload usage.
  • Product activity: active dates and necessary feature events, such as quick records and manually published records, used to understand service reliability, adoption, and retention.
  • Local device data: login state, language preference, cached media, temporary previews, and page state stored locally to operate the application.

We do not intentionally request government identification numbers, financial account information, precise location, address books, or advertising identifiers as part of PawNote's current features. Please avoid entering unnecessary personal information in free-text pet records.

3. How and Why We Use Information

We process information only when reasonably necessary to:

  • create, authenticate, secure, and administer accounts;
  • provide pet profiles, timelines, records, tags, media uploads, synchronization, and feedback;
  • process account deletion and permitted reactivation during the deletion waiting period;
  • maintain upload limits, prevent abuse, investigate errors, and protect users and infrastructure;
  • analyze de-identified or aggregated service activity, active days, retention, and use of core record features;
  • comply with applicable law, enforce our Terms of Service, and respond to valid legal requests; and
  • notify users of material service, security, or policy changes through available channels.

Depending on the applicable law and context, these activities are based on performance of the service requested by you, your consent, compliance with legal obligations, or PawNote's legitimate interests in operating and securing the service. Where processing depends on consent, you may withdraw that consent, although the affected feature may no longer work.

PawNote does not sell personal information, does not provide third-party targeted advertising, and does not use pet health records to build advertising profiles.

Device identifiers are used only for app functionality, account security, abuse prevention, device-protection checks, troubleshooting, and service reliability. PawNote does not use advertising identifiers and does not use device identifiers to track users across apps or websites owned by other companies.

Registration-country analytics: When an account is created, PawNote may use the request IP address with a local GeoIP country database to infer a two-letter registration-country code for aggregated geographic analytics and service operations. Existing accounts may be assigned a country from the earliest usable associated request log or, if that cannot be resolved, a recent usable request. This is an approximate network-based result, not nationality or residence, and it may be inaccurate because of a VPN, proxy, or network provider. The IP address used for this lookup is not sent to an online geolocation provider. PawNote does not use the inferred country for advertising, tracking, access control, pricing, authentication, or feature restrictions. IP geolocation data is provided by DB-IP under the Creative Commons Attribution 4.0 license.

Google Sign-In and Google user data: When you choose Google Sign-In on a supported platform, PawNote sends the Google-issued ID token to PawNote's server for verification. PawNote extracts and stores the stable Google account identifier and may use the display name and profile picture supplied by Google as the initial PawNote nickname and avatar. Although the token may contain an email address, PawNote's current server does not extract or store that Google email address. The raw ID token is used only to verify the request and is not retained after verification. This information is used only to authenticate you, create or sign in to your PawNote account, bind or unbind Google Sign-In, verify account ownership for sensitive actions such as account deletion, prevent abuse, and protect the service. Unbinding Google Sign-In removes the stored Google account link but does not automatically remove a nickname or avatar already copied to your PawNote profile; you may change those details or delete the PawNote account. PawNote does not sell Google user data or use it for advertising. PawNote's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. Photos, Videos, Camera, and Device Permissions

When you choose to add media, PawNote for Android uses the system media picker and receives only the photos or videos you select there; it does not request broad permission to read your entire library. On iOS, PawNote may request full or limited photo-library access under the operating system's rules and displays only authorized media. PawNote uploads only media you confirm and does not scan or upload the library in the background.

Camera access is requested only when you choose to take a new photo. You can decline or withdraw camera or media permissions in your device settings. Features that do not require the declined permission remain available.

Selected files may be uploaded to PawNote's storage so they can be synchronized and displayed as part of your records. Removing a local permission does not automatically delete media you previously uploaded; use the relevant deletion feature or contact us.

5. Sharing and Service Providers

We disclose information only as reasonably necessary:

  • to Apple services, including Sign in with Apple, App Store, TestFlight, and Apple review or distribution services;
  • to Google services, including Google Sign-In when enabled on supported platforms, Google Play, and Google review or distribution services;
  • to infrastructure providers that host the application, database, files, networking, security, or operational logs;
  • to device platforms and app stores as required to distribute, review, secure, or operate the application;
  • to professional advisers or authorities when required by law or necessary to establish, exercise, or defend legal rights;
  • during a security incident when disclosure is necessary to protect users, PawNote, or the public; or
  • when you direct us to share information or otherwise provide valid consent.

PawNote may use cloud hosting, database, object storage, content delivery or networking, security, logging, diagnostics, email, and service-notification providers to operate the service, including Alibaba Cloud OSS when configured for uploaded media storage. These providers may process account identifiers, device and log information, uploaded media, record metadata, request metadata, or contact information only as needed for their role.

Service providers are expected to process information only for the contracted purpose and to apply appropriate safeguards. PawNote does not permit providers to use PawNote content for their own targeted advertising.

If PawNote is involved in a merger, acquisition, financing, reorganization, or transfer of service assets, information may be transferred subject to this Policy and applicable law. We will provide notice when legally required.

6. Push Notifications

PawNote does not currently use push notifications for advertising or third-party tracking. If PawNote enables push notifications, they may be used for account, security, service, reminder, or pet-record related notices after the operating system or applicable law requires your permission.

You can disable notifications in your device settings. Push notification tokens, if collected, will be used only to deliver notifications, maintain notification reliability, prevent abuse, and troubleshoot delivery issues.

7. International Processing

PawNote's current production API infrastructure is operated on Aliyun ECS in Singapore. Uploaded media may be stored in Alibaba Cloud OSS in the region configured for the production bucket. Users, support activities, device platforms, and technical providers may be located in other countries or regions, so information may be processed outside the place where you live.

Where applicable law requires safeguards for an international transfer, PawNote will use reasonable contractual, technical, and organizational measures. Laws in the processing location may differ from those in your country, but this Policy continues to apply to PawNote's handling of the information.

8. Retention, Account Deletion, and Backups

Account, pet, journal, media, and related service data is generally retained while your account is active. The inferred registration-country code is linked to the PawNote account and retained with the account until account deletion. Operational and security logs are retained only for periods reasonably necessary for troubleshooting, fraud prevention, security, audit, dispute handling, and legal compliance; the country feature does not extend request-log retention.

When you request account deletion, the account enters a 30-day deletion waiting period. During this period, signing in may reactivate the account and cancel the scheduled deletion. After the waiting period, PawNote deletes or anonymizes the account and principal related data, including pet profiles, records, media metadata, and stored media, subject to technical completion and applicable law.

Limited information may be retained longer when required for security, abuse prevention, legal obligations, dispute resolution, or enforcement. Backup copies may remain for a limited rotation period and are not restored for ordinary product use. They are deleted or overwritten according to the applicable backup lifecycle.

If you unbind Google Sign-In, PawNote deletes the corresponding Google account link. If you delete your PawNote account, the Google account link is deleted with the account. Unbinding Google Sign-In alone does not delete your PawNote account, pet profiles, records, media, or profile details already copied into PawNote.

9. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information; restrict or object to certain processing; withdraw consent; or complain to a data-protection authority.

PawNote provides in-product controls to update certain information, clear local cache, withdraw device permissions, sign out, and request account deletion. For other requests, email support@pawlog.cn. We may verify your identity and account ownership before acting on a request. We may decline or limit a request when permitted by law, including when necessary to protect another person or preserve security records.

10. Children

PawNote is intended for a general audience of pet owners and is not directed to children below the minimum digital-consent or contractual age that applies where they live. A minor should use PawNote only with the authorization and supervision of a parent or legal guardian.

If you believe a child provided personal information without appropriate authorization, contact us. After reasonable verification, we will take appropriate steps, which may include deleting the information or account.

11. Cookies, Local Storage, and Similar Technologies

PawNote websites and H5 pages may use necessary browser storage, cache, or similar technologies to maintain sessions, remember settings, preserve page state, and protect the service. The mobile application may use equivalent local storage for authentication state, settings, and cached content.

PawNote does not currently use these technologies for third-party behavioral advertising. Clearing browser or application storage may sign you out or remove cached content.

12. Security

PawNote uses measures designed to protect information, including HTTPS in production, encrypted password storage, server-side authorization, access controls, upload validation, rate limits, logging, and account-security controls.

No online service can guarantee absolute security. You are responsible for protecting your credentials, using a secure device, and notifying us if you suspect unauthorized access. Do not send passwords or other highly sensitive information through feedback or ordinary email.

13. Future Features

PawNote may add future features such as reminders, notifications, exports, sharing, AI-assisted organization, subscriptions, widgets, or additional account-security tools. If a future feature requires new categories of personal information, new permissions, payment processing, third-party providers, or materially different use of data, PawNote will update this Policy and provide any required notice or consent before or when the feature becomes available.

14. Changes to This Policy

We may update this Policy when features, technology, legal requirements, or operational practices change. The current version will be published on this page with its effective date. If a change materially affects your rights or how information is processed, we will provide reasonable additional notice through the application, website, or another available channel where required.

Your continued use after an updated Policy takes effect means the updated Policy applies to subsequent use, subject to any consent that applicable law separately requires.
